Privacy Policy
How we collect, use and look after your personal information.
Last updated: 11 June 2026
1. Who we are
This Privacy Policy applies to the website of the Melbourne University Indian Club (“MUIC”, “we”, “us”, “our”), a student-led club at the University of Melbourne. We are committed to handling personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Questions about this policy can be sent to muicmelbourne@gmail.com.
2. What we collect
We only collect personal information you choose to give us. Depending on how you use the site, that may include:
- Your name, email address and phone number when you submit an enquiry, sponsorship or membership form;
- The contents of any message you send us, including which option you select (for example sponsorship, membership or general enquiry);
- Correspondence if you contact us directly by email or on Instagram.
We do not collect sensitive information through this website, and we never ask for payment details through it.
3. How we use your information
- To respond to your enquiry and communicate with you about MUIC events, membership or sponsorship;
- To organise and run club events and partnerships;
- To keep basic records of club correspondence.
We do not sell personal information, and we do not use it for third-party advertising.
4. How your information is collected and stored
Enquiry forms on this site may be processed by Formspree, a third-party form service that transmits your submission to our club email. If a form opens your own email app instead, your message is sent directly to muicmelbourne@gmail.com, which is hosted by Google (Gmail). Information is stored in these services and is accessible only to authorised MUIC committee members.
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, but no internet transmission is completely secure.
5. Disclosure and overseas recipients
We do not share your personal information with third parties except: service providers that make this website work (such as Formspree and Google, whose servers may be located overseas, including in the United States); where you have agreed; or where we are required by law. Embedded content from Instagram is governed by Meta’s own privacy policy.
6. Cookies, analytics and browser storage
This website does not use advertising cookies or third-party analytics trackers. It uses a small amount of functional browser storage (for example, to remember that you have already seen the homepage intro animation in your current session). This information stays in your browser and is not sent to us.
7. Event photography and media
Photos and video are taken at MUIC events and may appear on this website and on our social media. By attending a MUIC event you consent to reasonable use of event imagery for club promotion. If you appear in an image on this site and would like it removed, email us and we will action it promptly.
8. Access and correction
You can ask us at any time what personal information we hold about you, ask us to correct it, or ask us to delete it. Email muicmelbourne@gmail.com and we will respond within a reasonable period.
9. Complaints
If you believe we have mishandled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be published on this page with the date above.
